Privacy policy
Clear about every handoff.
Effective September 17, 2026. This policy explains what Recorded stores, when data leaves your device, and the controls available to you.
1. Overview
Recorded is a meeting notes app for iPhone, iPad, Mac, and Apple Watch. It does not require a Recorded account. It does not serve ads, sell personal data, or use data for cross-app tracking.
2. Data stored on your devices
Recorded stores the audio you capture or import, transcripts, summaries, speaker names you assign, projects, tags, instructions, settings, and basic recording metadata such as title, duration, and creation date. Optional location names may be saved with a recording when you grant location permission.
3. OpenAI processing
AI features are optional. Before each request, Recorded shows a consent screen that identifies OpenAI and the data for that request. If you approve transcription, Recorded sends the selected recording audio, selected transcription model, and any language, speaker-name, or custom-vocabulary hints you supplied directly to OpenAI. If you approve a summary, Recorded sends the transcript, selected summary model, and only the recording context, summary instructions, background material, and recent project summaries you chose to include. Summary regeneration sends text, not audio.
Recorded uses these data solely to request the transcript, speaker labels, summary, key points, action items, and tags that you asked it to create. Your API key stays in Apple Keychain on each device and is used directly with OpenAI; it is never sent to a Recorded server. OpenAI processes data sent through the API under the terms and privacy policy for your OpenAI API account. You can decline any request; Recorded then sends nothing to OpenAI.
4. iCloud sync
When cross-device sync is enabled, Recorded stores recordings, audio, transcripts, summaries, projects, tags, settings, and deletion records in your private Apple CloudKit database. Apple controls that service under your Apple Account and Apple privacy terms. Your OpenAI API key is not synced through CloudKit.
5. Permissions
Microphone permission is used only to make recordings. Location permission is optional and is used only to add a place name to a recording. Notification and Live Activity access may be used to show capture status. You can change permissions in Apple system settings.
6. Retention and deletion
Your data remains until you delete it. You can archive and permanently delete recordings inside Recorded. Removing the app deletes local app data from that device. Synced data can remain in your private iCloud database until removed through Recorded or your Apple Account. Data already sent to OpenAI is subject to the retention controls of your OpenAI API account.
7. Security
Recorded relies on Apple platform protections, the Keychain for API key storage, encrypted network connections to Apple and OpenAI, and private CloudKit storage. No security method can guarantee absolute protection.
8. Children
Recorded is a general productivity app and is not directed to children under 13.
9. Changes
If this policy changes, the effective date on this page will be updated. Material changes will be described in the app or its App Store listing when appropriate.
